Missed-Call Text-Back: What It Is, Messages, Rules
A homeowner with a leaking water heater calls three plumbers. The first two go to voicemail. The third one also goes to voicemail, but ten seconds later the homeowner gets a text: "Sorry we missed you, this is Ace Plumbing. What's going on? We can usually get someone out today." Of the three, the third plumber is the only one already talking to the customer.
That text is missed-call text-back: an automatic SMS sent to anyone whose call you don't answer. It's one of the cheapest lead tools a service business can switch on, and one of the few that can pay for itself in the first week.
This guide covers how it works, what the research on response speed actually says, what to write and the US texting rules you have to follow. For the wider setup (call forwarding and calling back as well as texting), see the lesson on missed calls: forwarding, call-back and text-back basics.
How missed-call text-back works
- A customer calls your business number.
- Nobody picks up: you're on a roof, under a sink, on another call, or it's 10 pm.
- Within seconds, the system sends a text from the same number they called.
- The customer replies by text. The conversation lands in your inbox (and ideally your phone), where you or an assistant take it from there.
Step 3 matters most: the text comes from the number they called. A text from a random short code looks like spam. A text from the number they just dialed looks like the business they were trying to reach.
Most setups need a number that can both take calls and send texts. In practice that means a VoIP or cloud number (from Twilio, a phone system or your marketing platform, for example), not a plain mobile line. You can usually keep your existing number by forwarding it or porting it.
Why it matters: callers don't wait and rarely leave voicemails
Speed decides who gets the job
The best-known study on response speed is from Harvard Business Review in 2011. Researchers audited 2,241 US companies and found that firms which contacted a web lead within an hour were nearly 7 times as likely to qualify the lead as those that waited even an hour longer, and more than 60 times as likely as those that waited 24 hours or more. Only 37% responded within an hour, and the average response time was 42 hours (HBR, "The Short Life of Online Sales Leads"; figures as summarized by SmartCompany, as of Oct 2026).
That study measured web leads, not phone calls, and it's from 2011. The logic holds even more strongly for calls, though. Someone calling a plumber has water on the floor and a list of other numbers to try.
We cover the wider research, including which popular speed-to-lead statistics are vendor claims, in Speed to lead: why replying in 5 minutes matters.
Many calls go unanswered
Reliable, independent numbers on missed calls are hard to find. Here are two vendor-reported figures for home services. Both come from companies that sell call tools, so treat them as a rough guide:
- Invoca, a call-tracking company, reports that 27% of calls to home services businesses are not answered, and that fewer than 3% of callers pushed to voicemail leave a message (Invoca, article dated May 2024, checked Oct 2026).
- A Service Direct study, as reported by MightyCall, found home service companies believed they answered 97% of calls but actually answered 66% (MightyCall, checked Oct 2026).
Outside the trades, Clio's 2024 secret-shopper study found only 40% of law firms answered the phone, down from 56% in 2019 (ABA Law Practice Magazine, as of Oct 2026).
Your own number is sitting in your phone system's call log. Count last month's missed calls that never got a callback. Each one was a person who wanted to pay you.
What to write: three templates that work
Keep the first text short and human. Say who you are, apologize briefly and ask one question that's easy to answer.
Home services (plumbing, HVAC, electrical)
Hi, this is Ace Plumbing. Sorry we missed your call, we're on a job. What can we help with? If it's urgent (leak, no hot water), reply URGENT and we'll call right back. Reply STOP to opt out.
Dental or med spa front desk
Hi, this is Brightside Dental. Sorry we missed you. Are you a new or existing patient, and what can we help with? You can also book here: [link]. Reply STOP to opt out.
Law firm intake
This is the Ortiz Law Office. We're sorry we missed your call. Please reply with your name and a brief description of your matter and we'll call you back today. Please don't send confidential details by text. Reply STOP to opt out.
Tips:
- Ask one question. "What can we help with?" beats a menu of options.
- Promise a realistic callback. "Within 15 minutes during business hours" is better than "ASAP" if you can keep it.
- Change it after hours. "We're closed until 7 am. Reply with your address and the problem and we'll call first thing" sets honest expectations.
- Don't send it to every call. Suppress texts to numbers that already got one in the last day, and to numbers on your do-not-text list.
What happens after the text
The text only buys you attention. The next 15 minutes decide the job.
- Route replies to a phone, not a dashboard. The owner or dispatcher should see "New text from missed call: 'water heater leaking in garage'" as a push notification.
- Qualify with two or three questions, not ten: what's wrong, the address or ZIP code, and when they need someone.
- Call back when it's urgent. A text conversation is fine for scheduling a tune-up. A burst pipe needs a voice call.
- Log it as a lead, so you can see later how many missed calls turned into booked jobs.
An AI assistant can handle the first reply and the qualifying questions, as long as it sticks to facts you approved (service area, hours, whether you do same-day work) and hands over to a person when it's unsure or when the customer asks.
The US rules: 10DLC registration and consent
In the US, the phone carriers and federal law both regulate texting customers from a business number. Two things matter:
1. A2P 10DLC registration. Business texts sent from ordinary 10-digit numbers must be registered with the carriers through your provider. Twilio, for example, states that unregistered US-bound messages from 10DLC numbers are blocked, and its campaign vetting takes up to 5 business days for standard use cases (Twilio 10DLC overview, Twilio vetting FAQ, as of Oct 2026). Our A2P 10DLC guide walks through the steps.
2. Consent and opt-out. A missed-call text-back replies to someone who just contacted you. That makes it a conversational message rather than marketing. Keep it that way: don't add promotions to it, and don't add the caller to a marketing list without separate consent. Honor STOP replies immediately. Twilio, for instance, automatically blocks further messages to numbers that reply STOP, UNSUBSCRIBE, END, QUIT and similar keywords (Twilio opt-out docs). The Telephone Consumer Protection Act allows private lawsuits with damages of US$500 per violation, which a court may triple for willful or knowing violations (47 U.S.C. § 227(b)(3)). If you plan to text at scale or send promotions, talk to counsel.
What it costs
The texting itself costs very little. Twilio lists US SMS at US$0.0083 per segment plus carrier fees of roughly US$0.0035 to US$0.005 per outbound message, as of Oct 2026 (Twilio US SMS pricing). 10DLC registration has small one-time and monthly fees (see the 10DLC guide). The real cost is the setup, plus the discipline to answer replies quickly.
Set that against a single job. One booked water heater replacement or AC repair pays for years of texting.
A 30-minute setup checklist
- Count last month's missed calls with no callback. That's your baseline.
- Get a text-capable business number, or confirm yours supports SMS.
- Register for A2P 10DLC through your provider. Describe the use case honestly: "replies to customers who call us".
- Write a daytime message and an after-hours message.
- Send replies to the owner's or dispatcher's phone as notifications.
- Decide who answers texts during jobs, and set a callback target.
- After 30 days, compare: missed calls, texts sent, replies, booked jobs.
How BeeCMO handles it
Messenger Bee includes missed-call text-back and two-way SMS for US, Canadian and Australian numbers through Twilio. A missed call gets a text within seconds, becomes a lead in one pipeline with your web forms, Facebook and Instagram lead ads and DMs, and gets qualified with your questions. Hot leads are sent to your phone. US texting needs A2P 10DLC registration, and we walk you through it. See BeeCMO for plumbers, for HVAC and pricing, or start with the free website scan to see how easy you are to reach.

Frequently asked questions
What is missed-call text-back?
An automatic text message sent from your business number to anyone whose call you don't answer, so the caller can continue the conversation by text instead of calling the next business on the list.
Do I need A2P 10DLC registration for missed-call text-back?
In the US, yes, if you send from a standard 10-digit business number through a provider such as Twilio. Unregistered business texts from 10DLC numbers are blocked by Twilio and filtered by carriers.
Is missed-call text-back legal under the TCPA?
Replying by text to someone who just called you, about their enquiry, is a conversational message, and is generally treated differently from marketing texts. Keep it free of promotions, honor STOP immediately, and get advice from counsel before sending any marketing texts.
Can I use my existing business number?
Usually. You can forward calls from your existing number to a text-capable number, or port the number to a provider that supports calls and SMS. Texts must come from the number the customer called for the best results.
Should an AI answer the text replies?
An AI can send the first reply and ask qualifying questions from facts you approved. It should hand the conversation to a person for urgent jobs, pricing questions, complaints, or whenever the customer asks for a human.
