A good agency client report opens with the client's business results (enquiries, bookings, sales where known), then shows the channel numbers that explain them, then lists what you did and what you'll do next. Keep the monthly report to one page and the year-end review to three or four. Copyable templates for both are below.
Why most agency reports go unread
Most client reports are 15-slide PDFs full of reach, impressions and follower counts. The owner of a hospital, a real estate developer or a D2C brand flips to the last page, looks for "leads" and closes the file.
A report gets read when it:
- answers "did this make us money?" in the first three lines;
- uses the client's words (enquiries, site visits, walk-ins, orders) rather than marketing jargon;
- explains one or two changes instead of listing fifty metrics;
- ends with decisions the client needs to make.
Our agency playbook for running 20 clients with AI and approvals sets out a rhythm: a five-line weekly WhatsApp summary, a one-page monthly report and a quarterly call. This post is the template for the monthly and year-end parts.
What goes in a monthly client report
1. Outcomes first
- Enquiries or leads, by source, against last month.
- Bookings, site visits or orders, where the client shares them.
- Cost per enquiry across paid channels.
If the client doesn't share sales data, say so in the report. Don't estimate revenue you can't see.
2. Channel numbers that explain the outcomes
| Channel | Numbers | Source |
|---|---|---|
| Google Business Profile | Calls, direction requests, website clicks, messages, new reviews, rating | Business Profile Performance (Google) |
| Organic search | Clicks, impressions, CTR, average position, top pages | Search Console Performance (Google) |
| Website | Sessions and key events by channel | GA4 (Google) |
| Messages sent, delivered, read, clicks, spend | WhatsApp Manager (Meta) | |
| Meta ads | Spend vs budget, results, cost per result, best ad | Ads Manager |
| Social | Posts published, reach, saves, clicks | Each network's insights |
Google Business Profile updates the searches metric at the start of each month and it can take up to 5 days to appear, so send monthly reports after the 5th. Performance data only exists for verified profiles.
3. What we did
- Posts, articles, ads and broadcasts that went live.
- Review replies sent and review requests made.
- Fixes: site errors, profile updates, tracking changes.
- Approvals: what the client approved, rejected or changed, with dates.
4. What we learned
One or two plain sentences per channel. "Calls from the Google profile rose after the new photos and the Saturday hours update." If you don't know why something changed, say that.
5. Next month
- Three planned actions, tied to the outcome they should move.
- Decisions needed from the client.
- Festivals or seasons ahead. For Indian clients, our festival marketing calendar helps with lead times.

The year-end client report
The year-end report is your renewal document. It answers: "Was this year worth what we paid?"
What to include
- The year in one paragraph. Enquiries for the year against last year, and the biggest win.
- Month-by-month enquiries chart, with festivals, launches and ad pushes marked.
- Channel scorecard: each channel's share of enquiries and cost per enquiry.
- Search and local visibility: Search Console clicks year on year, rating and review count at the start and end of the year.
- What worked, what didn't, what we stopped. Be specific and honest.
- Spend summary: your fees, ad spend and messaging spend, so the client sees the total.
- Next year's plan: three priorities, a budget range and the festival calendar.
Pull the data before it disappears
- Search Console keeps 16 months of data (Google Analytics Help). That's enough for one year-on-year comparison. Export monthly if you want longer history.
- GA4 data retention for event data can be set to 2 or 14 months on standard properties. The setting only affects explorations and funnel reports, not standard reports (Google). Check it's on 14 months for every client in January, not December.
- Google Business Profile: export the Performance view by month as you go, so the year-end chart doesn't rely on one download.

Illustrative example: a coaching institute in Jaipur
Illustrative example. The year-end report shows enquiries up from 1,180 to 1,420. Most of the rise came from Google profile calls in the two months before the admission season. Meta ads cost per enquiry rose in the second half, so the agency proposes moving part of that budget to WhatsApp follow-ups for last year's enquiries. The client renews and approves the shift in the review call.
Report hygiene that builds trust
- Every number has a source and a date. List the tools at the bottom.
- No vanity metrics without context. If you report reach, say what it led to.
- Never let AI invent numbers. AI can draft the narrative; the numbers must come from the data.
- Show the approvals. A log of what the client approved protects both sides when something goes wrong.
- Use the client's language. "Patients", "students", "site visits", "dealers".
- Send it as a link or PDF, plus a three-line WhatsApp summary. Most owners will only read the summary.
Where BeeCMO fits for agencies
- BeeCMO gives your agency one account with a workspace per client, each with its own connections, products and approvals.
- Clients approve posts, articles, review replies, campaigns and broadcasts with one tap on WhatsApp or by email, and every decision is recorded.
- Each client gets a Monday briefing built from their own data, with this week against last week.
- The usage ledger records AI, search and WhatsApp costs per client workspace, so you know what each client costs to serve.
- A full white-label option with your logo, domain and a client portal is in development and not available yet. Approval requests and the briefing come from BeeCMO.
See agency pricing for plans.
FAQ
What should a monthly agency client report include?
Business outcomes first (enquiries, bookings or orders, cost per enquiry), then the channel numbers that explain them, what the agency did including approvals, what was learned, and next month's plan with decisions needed from the client.
How long should a client report be?
One page for the monthly report and three to four pages for the year-end review, plus a short WhatsApp or email summary. Clients rarely read long slide decks.
How far back can I compare Search Console data for a year-end report?
Search Console keeps 16 months of data, which allows one year-on-year comparison. Export data monthly if you need longer history.
Does GA4 data retention delete data from my client reports?
The GA4 data retention setting only affects explorations and funnel reports, not standard reports. Set event data retention to 14 months on standard properties so year-end explorations work.
Should agencies use AI to write client reports?
AI can draft the summary and narrative, but every number should come straight from the client's data and a person should check the conclusions before sending.
