WhatsApp Business App vs API: Which One Do You Need?

By BeeCMO teamPublished · 8 min read

The WhatsApp Business app is free and built for one person (or a small team) chatting by hand from a phone. The WhatsApp Business Platform, usually called the API, is paid per message and built for software: automatic replies, CRM records, large sends and many agents. Most small shops in India start on the app and move to the API when chats stop fitting in one person's day. Since Meta lets you connect an app number to the API, you may not have to choose at all.

If you are new to WhatsApp for business, start with our WhatsApp for business guide, then come back here.

Sources for the rows: Meta's linked devices, broadcast lists, messaging limits, official business accounts and Business AI in India, all checked Oct 2026. The chatbot rule is from WhatsApp's updated Business Solution Terms, as reported by Business Standard (checked Oct 2026).

What the app does well

  • It's free, and setup is just downloading the app and verifying your number.
  • You can write anything to anyone who has your number. There are no templates or 24-hour windows.
  • Catalog, labels, greeting and away messages cover most of what a salon, tailor or tiffin service needs.
  • Since May 2026, eligible Indian businesses can switch on Meta's Business AI from the Tools tab. Meta says it answers customer questions in all Indian languages, captures leads and books appointments, and the owner can take over any chat (Meta newsroom, checked Oct 2026). We compare it with full marketing tools in Meta Business AI alternatives.

Where the app runs out

  1. One phone. Linked devices help, but the main phone has to register the account, and four extra devices is the cap (WhatsApp Help Center, checked Oct 2026).
  2. Broadcasts reach only people who saved your number. A lead from an ad, IndiaMART or Justdial often hasn't.
  3. No record outside the phone. Leads, follow-ups and who replied to whom live in chat threads, so nothing feeds a CRM or a report.
  4. No reply at 11 pm unless someone is awake, or you have Business AI and it qualifies for your business.

What the API adds

  • Instant replies and lead qualification from software, around the clock.
  • Shared inbox for any number of staff, with assignment and notes.
  • Template messages to opted-in contacts who never saved your number, such as order updates, reminders and offers.
  • Messaging limits that grow with you. After business verification (or 2,000 qualifying sends in 30 days) you move to 2,000, then Meta raises the limit automatically when quality is high and you have used at least half of it in the last 7 days (Meta messaging limits, checked Oct 2026).
  • The blue tick, if you qualify.

The trade-off is cost and rules. You pay per template message, the first message to a cold contact must be an approved template, and quality ratings decide whether you can keep sending. Our WhatsApp Business API pricing guide for India has the full rate breakdown, and the WhatsApp API pricing calculator turns your monthly volumes into a rupee estimate. As a reference point, Meta's India marketing rate is ₹0.8631 per message and utility is ₹0.115, before GST (effective 1 October 2026).

Using both on one number

Meta now lets a business connect its existing WhatsApp Business app number to the Cloud API through a provider's signup flow. After that, Meta's documentation says (Meta developer docs, checked Oct 2026):

  • You keep chatting one-to-one in the app, and messages stay in sync with the API.
  • Messages you send from the app stay free. Messages sent through the API follow API pricing.
  • Up to six months of chat history and your contacts can be synced, if you allow it.
  • Broadcast lists in the app are switched off, and existing lists become read-only. Big sends go through the API instead.
  • Group chats are not synced, and disappearing messages, view-once and live location are turned off for one-to-one chats.
  • Linked devices are unlinked once, and you re-link the supported ones.
  • The number is held at a fixed throughput of 20 messages per second, which is plenty for a local business.
  • You need app version 2.24.17 or later.

For an Indian shop this is often the best of both: the owner keeps the familiar app on the phone, and the API handles the 11 pm enquiry, the reminder and the follow-up.

Which one should you use?

Stay on the app if:

  • You get a few dozen chats a day and one or two people answer them.
  • Most customers already have your number saved.
  • You don't send offers to more than a few hundred people.

Move to the API (or connect your app number to it) if:

  • Leads come from ads, your website, IndiaMART or Justdial, and slow replies cost you jobs.
  • More than two people need to answer the same number.
  • You want reminders, follow-ups and offers to go out on a schedule, with opt-in records.
  • You want reports on response time and lead sources.

In the US, WhatsApp is a smaller channel for local businesses, and Meta says it does not currently deliver marketing template messages to US phone numbers (Meta per-user limits page, checked Oct 2026). US businesses usually lead with SMS; see missed-call text-back.

How BeeCMO fits

Messenger Bee connects your own number to the official WhatsApp Cloud API through Meta's Embedded Signup. The WhatsApp account stays in your Meta Business portfolio and Meta bills you directly; BeeCMO adds no markup. It replies to new enquiries in seconds from the facts you approved, hands over to a person when needed, and every broadcast waits for your OK. See Messenger Bee.

Frequently asked questions

Is the WhatsApp Business API free?

No. Meta charges per delivered template message by category. Service replies are free up to 1,000 per number each month and charged after that, since 1 October 2026. Providers may add their own fee.

Can I use the WhatsApp Business app and API on the same number?

Yes, if your provider supports Meta's flow for WhatsApp Business app users. Chats stay in sync, app messages stay free, and app broadcast lists become read-only.

Do I lose my chats when I move to the API?

With the app-connection flow, up to six months of one-to-one history can be synced if you agree. Group chats are not synced. A full move off the app without that flow does not carry chats over.

How do I get the green or blue tick on WhatsApp?

The blue tick is the Official Business Account badge. It needs an API number, business verification, two-step verification, an approved display name and 30 days on the platform. App numbers are not eligible.

What is the broadcast limit on the WhatsApp Business app?

Up to 256 contacts per broadcast list, as many lists as you like, and only contacts who saved your number receive them. See our guide to the WhatsApp broadcast limit.
