How to Respond to Negative Google Reviews (12 Examples)

Reply within a day or two, thank the reviewer, name the specific problem, say what you're doing about it, and move the conversation offline to a named person. Keep it short, never argue, and never share private details. That's the whole method. The rest of this guide is examples for the situations that come up most, and the cases where you should report a review instead of replying.

For copy-ready replies to every star rating, including positive ones, see our Google review response templates. For the method behind good replies, see the lesson on how to reply to reviews.

The 5-step method

  1. Thank them. Even for a harsh review. It shows future customers you take feedback well.
  2. Name the specific problem. "The 40-minute wait" beats "your experience". It proves a person read the review.
  3. Own what's yours. Apologize for the experience without admitting legal fault or arguing the details.
  4. Say what changes. One concrete fix, if there is one.
  5. Take it offline. Give a named person and a phone number or WhatsApp. Don't ask for details in public.

Google's own guidance is to keep replies short and specific, avoid promotions, and never share private details in a reply (Google Business Profile Help, checked Oct 2026).

12 example replies by situation

Each example is a starting point. Change the names and details so it fits the review in front of you.

1. Late or slow service

"Thank you for telling us, Neha, and we're sorry you waited 40 minutes past your booking. That's not the standard we set. We've changed how we schedule weekend slots. Please message Ravi, our manager, on the number on our profile so we can make it right."

2. Rude staff

"We're sorry, Tom. Everyone who calls us should be treated with respect, and it sounds like that didn't happen. I'd like to hear exactly what happened. Please call me directly, I'm Sarah, the owner, at the number on our profile."

3. Price complaint

"Thanks for the feedback, Arjun. We should have explained the cost before starting the work, and we're sorry the final bill was a surprise. Please call our office so we can go through the invoice with you line by line."

4. Product or food quality

"We're sorry your food arrived cold, Meera. That shouldn't happen, and we've talked to the kitchen about timing on busy nights. Please message our manager, Vikram, so we can invite you back."

5. A review that seems to be for another business

"Thank you for the review. We can't find a visit or order that matches these details, and we don't offer that service, so this may be meant for another business. If we've got that wrong, please call us so we can look into it."

6. A review with a claim that isn't true

"We take this seriously, and we'd like to understand what happened. Our records don't match what's described here. Please contact our manager, Priya, at the number on our profile so we can look into it together." Stay calm and factual. Don't call the reviewer a liar in public. If the review is fake, report it as well (see below).

7. One star, no text

"We're sorry we fell short. If you're willing to tell us what went wrong, please call or message us on the number on our profile. We'd like to fix it."

8. A review in Hindi

"Aapke feedback ke liye dhanyavaad, Rakesh ji. Humein khed hai ki aapka anubhav achha nahi raha. Kripya hamare manager Amit se profile par diye number par baat karein, hum ise theek karna chahte hain." Reply in the language the reviewer used. If you don't read it well, have someone who does check your reply.

9. A clinic or healthcare practice

"We're sorry to read this. Privacy rules prevent us from discussing any details here, but we take every concern seriously. Please contact Maria, our office manager, at the number on our profile." Never confirm the reviewer is a patient or mention a condition, treatment or date. US practices: see HIPAA-compliant review responses.

10. A mistake you've already fixed

"Thank you, Chris, and you're right: the invoice had the wrong address. We've corrected it and sent the new copy to your email. Sorry for the trouble."

11. A complaint about something outside your control

"We're sorry the parking was so hard to find on Saturday, Divya. It's a busy street on weekends. There's a paid lot two buildings down, and we've added directions to our booking messages."

12. A customer who wants a refund

"We're sorry you're unhappy with the result, Karan. We'd like to understand what went wrong and look at the options with you. Please call our office and ask for Neel." Don't promise a refund or discount in a public reply. Handle it in private.

What never to say

  • Anything that shares private details: names of staff disciplined, order contents, medical or financial details, dates of a visit.
  • Arguments about who's right, or sarcasm.
  • Accusations that the reviewer is lying, or a competitor.
  • Threats of legal action over an honest review. In the US, the FTC's rule bans suppressing reviews through unfounded legal threats or intimidation (FTC Q&A, checked Oct 2026).
  • Offers of money or discounts to change or remove the review. Google's policy bans incentives for changing or removing reviews (Google Maps user contributed content policy, checked Oct 2026).
  • A copy-pasted template. Customers can tell, and BrightLocal's 2026 survey found half of US consumers are put off by templated replies (BrightLocal 2026, via PinMeTo).

When to report instead of reply

Report a review when it breaks Google's content policy: fake engagement, a review from a competitor or someone who was never a customer, hate speech, or personal information. Replying doesn't stop you reporting. Our guide on how to remove a fake Google review has the steps for Google's Reviews Management Tool and appeals.

A review that's harsh but honest is not a policy violation. Reply to it well; future customers read the reply as much as the review.

How fast to reply

Within a day or two is a good target. A calm reply that arrives quickly tells future readers you're paying attention, and it gives an unhappy customer a way to reach you before they post anywhere else.

Frequently asked questions

Should I reply to every negative Google review?

Yes, unless it breaks Google's policy, in which case report it too. A short, calm reply shows future customers how you handle problems.

Can I delete a negative Google review?

No. Business owners can't delete reviews. You can report a review that breaks Google's policy, and Google decides whether to remove it.

Should I apologize if the customer is wrong?

Apologize for how they felt about the experience, not for something that didn't happen. Then state the facts briefly and move the conversation offline.

Can I offer a refund in my reply?

Don't promise one in public. Invite the customer to contact a named person, and sort it out in private.

Does replying to reviews help my ranking?

Google's help page on local ranking talks about how many reviews you have and your ratings; it doesn't list replies. Customers do notice them: 80% say they're more likely to use a business that replies to every review (BrightLocal 2026).
